Responsibilities:Sales Support AdministrationSupport the Lead Salesperson and sales team with day-to-day administrative tasksCreate and prepare client proposals, contracts, agreements, and PDF documents based on provided specificationsManage contract revisions and ensure timely delivery of client-facing documentsCoordinate administrative support for sales-related projects and initiativesInbox & Communication ManagementMonitor and manage sales inboxes, including sorting, flagging, routing, and responding to communications as appropriateTrack client inquiries and ensure timely follow-upHelp maintain rapid response times that support excellent customer serviceEscalate priority communications when necessaryCRM & Database ManagementMaintain accurate records within HubSpot and other internal systemsUpdate contact information, deal stages, notes, activities, and client recordsMonitor CRM hygiene and ensure data accuracySupport reporting and visibility into sales activities and pipelinesOrganization & Process ManagementMaintain spreadsheets, trackers, shared files, and operational documentationTrack follow-up activities and ensure tasks are completed on scheduleOrganize information and workflows to support efficient sales operationsAssist with process documentation and continuous improvement initiativesClient-Facing DocumentationEnsure proposals, contracts, and client materials are accurate, professional, and error-freeReview documents for completeness, formatting, and consistencyCoordinate updates and revisions as requested by the sales teamSupport the creation of client-ready materials and communicationsBusiness Support & Special ProjectsAssist with additional administrative projects as business needs evolveSupport activities such as permit coordination, research, documentation, file management, and operational support when neededAdapt to changing priorities and contribute to new
