Purchasing Assistant

, you will play a crucial role in maintaining the supply chain integrity of our diverse food and beverage brands (including Marugame Udon, Maisen, and Paul). You will be responsible for supporting the procurement team in sourcing high-quality ingredients, kitchen equipment, and restaurant supplies while ensuring cost-efficiency and timely delivery.

Your meticulous attention to detail will directly impact the freshness, quality, and consistency of the food served across all our restaurant outlets.

Key

Responsibilities Procurement Support & Order ProcessingProcess purchase requisitions and issue Purchase Orders (POs) to approved vendors in a timely manner. Coordinate with restaurant store managers and kitchen heads to determine daily or weekly inventory and supply needs. Track order statuses, expedite delivery times, and resolve any delays or discrepancies with suppliers. Verify delivery receipts against POs and invoices to ensure accuracy in quantity, pricing, and quality.

Vendor Management & Quality ControlAssist in evaluating vendor performance based on delivery timelines, product freshness, food safety standards, and pricing. Source potential new local suppliers for fresh produce, meat, dry goods, and kitchen consumables. Maintain an updated database of suppliers, contact details, price lists, and contract terms.

Collaborate with the Quality Assurance (QA) team to ensure all purchased food items strictly comply with health, sanitation, and company standards. Documentation & Inventory CoordinationMaintain accurate, well-organized purchasing records, invoices, and price histories for audit purposes. Endorse completed billing documents to the Finance and Accounting departments for prompt payment processing.

Monitor market trends and fluctuating prices of raw ingredients to assist the Purchasing Manager in budget forecasting. Job QualificationsExperience: At least 1–2 years of experience in purchasing, procurement, or supply chain coordination, specifically within the Food and Beverage (F&B), hospitality, or commissary industry. Education: Bachelor’s degree in Supply Chain Management, Business Administration, Hotel and Restaurant Management (HRM), or a related field.

Skills: * Strong negotiation, communication, and interpersonal skills to build solid vendor relationships. , SAP, Oracle, or NetSuite) is a major advantage. Basic knowledge of food safety, cold chain management, and perishable goods handling.
